Is an RSVP Card Actually Important?

If you’ve hosted enough events, this question may seem silly. You know how important it is to get an approximate head count. So, the answer is yes. However, forgetful guests will often put their RSVP cards aside and not respond until it’s too late (or ever). So make your invite memorable and give them the incentive to respond in time.

What Should an RSVP Template Include?

No matter what event you are inviting people to, there is some basic information you should include. Namely, the who, what, and when. So, who is inviting them, to what event, and when will it take place? Also, give them the option to accept or decline the invitation. Finally, kindly set a due date for when you expect their response.

You can also ask for other information relevant to your event. For instance, if dining will be involved, let your guests choose their menu options within the RSVP form. For example, you can have them choose between non-vegetarian, vegetarian, and vegan. Just make sure you don’t overstuff the RSVP card with too many details and make it a survey.

If you have the time, you could personalize the RSVP. Include the name of the person you are inviting. It shows your dedication and that you are thinking of them specifically, making them more likely to respond. How Should You Design It?

Well, anyway you want. It’s your event after all. Nevertheless, here are some ideas you can use. Regardless of what your design ends up being, try to make it memorable. Play around with fonts and colors until you find something eye-catching. Bright colors and special fonts are always a safe bet if you want something stylish, yet catchy.

It’s also a good idea to keep your RSVP design in line with the theme of the event. How often do you see a wedding invite that doesn’t at least contain a subtle floral pattern? If you are hosting an office party, you should try to keep it professional. On the other hand, if it’s an informal get-together, you can use a big bold font and include funny images. 

In essence, experiment and listen to your instincts. Make something that reflects your personality and send it out once you feel satisfied. You can always hone it along the way.

A Final Tip – Correct as You Go

When you finish creating your RSVP form share it with your potential guests on a channel that is most accessible to them. For example, you could share it as a WhatsApp form or an email form, whatever makes the most sense for your people.
